Launching a Private Label begins with one critical decision: choosing a contract manufacturer. A mistake at this stage can cost months of delays, substandard product quality, and lost brand reputation in the eyes of consumers. What should you look for when choosing? Here are ten criteria proven by time and the experience of hundreds of brands.

Criterion 1: In-House R&D Laboratory

A contract manufacturer without its own laboratory is a red flag. Such a partner can only produce according to ready-made formulations from a catalog but will not be able to adapt the formula to your specific requirements.

What to check:

  • Does the manufacturer have a certified laboratory (ISO 17025 is the gold standard)?
  • Can they conduct pilot tests of your formula?
  • What analytical instruments do they have: HPLC, GC, mass spectrometry, microbial contamination resistance testing?
  • How long does development take from idea to commercial batch?

Criterion 2: Transparent MOQ (Minimum Order Quantity)

MOQ (Minimum Order Quantity) is one of the most problematic aspects of contract manufacturing. Some manufacturers insist on a minimum of 10,000–50,000 units. If you are launching a new brand, this is an unbearable burden.

A good contract manufacturer offers:

  • Pilot batches from 50–100 units for market testing.
  • Transparency: why this specific MOQ? Is it due to equipment, packaging, or logistics?
  • Flexibility: the ability to increase the order if necessary without additional penalties.

Criterion 3: Realistic Timelines and Adherence to Them

Ask: how much time does it take from receiving your brief to delivering the finished batch?

Benchmark:

  • 4 to 8 weeks — a good indicator for most formulas.
  • Less than 4 weeks — it is likely a standard formula without adaptation.
  • More than 8 weeks — ask why it takes so long. Perhaps there is no R&D laboratory.

Ask for contacts of previous clients and talk to them about meeting deadlines. Delays are expensive.

Criterion 4: Certifications and Compliance with Standards

Minimum set:

Criterion 5: Vertical Integration (In-House Packaging Facilities)

A manufacturer that produces both the product and the packaging (bottles, labels, cassettes) simultaneously is a significant advantage.

Why:

  • Speed: No delays from subcontractors.
  • Quality control: One team, one responsibility.
  • Cost: No markups from intermediaries.
  • Flexibility: Easier to change the label design or bottle material.

If the manufacturer orders packaging from third parties, timelines can be delayed by 2–3 weeks.

Criterion 6: NDA and Intellectual Property Protection

Your formula is an asset. The manufacturer must sign a Non-Disclosure Agreement (NDA).

Check:

  • Who owns the formula? You (best) or the manufacturer (worse—they could sell your formula to competitors)?
  • How is information protected when employees leave? Have they signed confidentiality agreements?
  • Does the manufacturer allow third parties to use your formula? (This is a major risk).

Criterion 7: Scalability (Ability to Increase Volumes)

Your brand suddenly becomes popular, and you need to produce 10 times more. Can the manufacturer support you?

Ask:

  • Current capacity: How much can they produce per month with the given equipment?
  • Planned expansions: Do they plan to purchase new mixing tanks or packaging lines?
  • Customer queue: If all the manufacturer's other customers are also growing, will you get stuck in a queue?

Criterion 8: Packaging Flexibility

Your brand may require different packaging options depending on the sales channel.

Check:

  • Standard packaging: 100 ml, 250 ml, 500 ml (in stock).

Criterion 9: Logistics and Delivery

Production is ready, but how will the product get to you or directly to retail chains?

Check:

  • Warehouse availability: Does the manufacturer store finished batches in their warehouse?
  • Direct delivery capability: Can they ship the product directly to a retail chain or distributor?
  • Transportation insurance: Who is responsible for damage during delivery?
  • Export logistics: If you export, does the manufacturer prepare the necessary documentation (certificates, ingredient lists)?

Criterion 10: Communication and Access to a Technologist

Last but most important. Do you have contact with the technologist developing your formula, or only with a sales manager?

A manager can pass your question to the technologist, but this delays everything by a day or two. Direct contact with a technologist:

  • Accelerates problem resolution.
  • Allows discussing minor formula changes without bureaucracy.
  • Builds trust and understanding between your team and the manufacturer.

How to Verify a Manufacturer's Claims

Pay attention to the cleanliness of the shop floor, warehouse organization, and employee morale—these are the best indicators of quality." Do not just take their word for it—verify:

1. Ask for a contact list of 5–10 clients and talk to them about their experience.

2. Request a tour of the production facility. The opportunity to see the shop floor, laboratory, and equipment is already a good sign.

3. Order a test batch. The quality of a small batch often reflects the quality of large batches.

4. Verify certificates on the official websites of the issuing bodies (do not accept scanned copies without verification).
